How do I report an absence due to Coronavirus (COVID 19)?
In the unfortunate circumstance that either you or a loved one does become ill during this time; we would like to make you aware of three new absence reason codes: COVID-SICK (employee), COVID-SICK (other), and COVID-FMLA.
To ensure that our employees are provided with paid sick leave and expanded family and medical leave for reasons related to the COVID-19 pandemic, and to comply with the Families First Coronavirus Response Act (FFRCA), the new absence reason codes have been added as options in the Frontline Absence Management system. All CCIU employees are to choose one of the COVID codes when using sick or FMLA days provided for under the FFRCA, as follows:
- COVID-SICK (employee) – use when FFRCA paid leave time is to care for the employee
- COVID-SICK (other) – use when FFRCA paid leave time is to care for others
- COVID-FMLA – use only when on an approved expanded family and medical leave
These provisions will remain in place from April 1 - December 31, 2020.
Please note that the COVID codes should only be selected for leave reasons related to Families First Coronavirus Response Act, which provides for paid sick leave for employees who are unable to work or telework due to the following:
- subject to a federal, state or local quarantine or isolation order related to
COVID-19 - advised by a health care provider to self-quarantine because of COVID-19
- experiencing symptoms of COVID-19 and is seeking a medical diagnosis
- caring for an individual subject or advised to quarantine or isolation
- caring for a son or daughter whose school or place of care is closed, or child care provider is unavailable, due to COVID-19 precautions
- experiencing any other substantially similar condition specified by the U.S. Department of Health and Human Services
To further clarify the Families First Coronavirus Response Act and paid leave during the COVID-19 pandemic, please read the attached a detailed flyer with additional information regarding paid leave entitlements, who is eligible and qualifying paid leave reasons.

How can support be accessed for those in crisis?
HMS/Health Advocate, an employee assistance program (EAP), offers free and confidential counseling and referral services to help employees and their eligible dependents successfully manage life's problems. If either you or someone in your household is struggling with anxiety and stress due to the current health crisis, please seek support. The phone number for HMS is 877-240-6863 or you can visit the HMS/Health Advocate website.
Also, the Substance Abuse and Mental Health Services Administration has published a guide for talking with children about this situation. Times of crisis can elicit a wide range of emotions and behaviors in children and ourselves. It is important that we take care of our physical and mental health while caring for others. If you or someone you know is experiencing emotional distress, a 24-hour crisis text line is available by texting “start” to 741741. If an individual needs urgent mental health services, Valley Creek Crisis is available 24 hours a day at 610-918-2100. As with any other emergency, you can also call 911. -
I do not have the ability to complete an electronic timecard. What should I do?
If you are unable to submit an electronic timecard, you must work with your supervisor to email the following to payroll@cciu.org by the designated deadlines:
- Name
- Job Title
- Location
- Dates
- Total hours worked (or scheduled to be worked)

How much paid time do I currently have available in my balances?
You can check your paid time balances by viewing your most recent pay stub. Log onto my.adp.com to access. Please visit the HR FAQ page on the CCIU’s website if you need ID or password help.

Where can I find more information?
If you have any concerns about yourself or a household member being exposed to COVID-19, please contact your primary healthcare provider. Additionally, the Chester County Health Department has a self-reporting online tool available on its webpage.
